The Lorentz Center, based at Leiden University, is a workshop center that hosts weekly international meetings for groups of 25 to 55 scientists. At two different locations, we organize approximately 80 workshops each year covering virtually all fields of science. During a workshop, scientists meet in person and virtually to discuss developments in their field in an open and stimulating environment.

The initiative for a workshop comes from the researchers themselves. The Lorentz Center assists them with the preparations and handles as much of the organizational and administrative work as possible, so that the researchers can focus on the substantive content of their workshop. Each workshop has its own workshop coordinator, who independently and in close collaboration with the researchers handles the organizational preparation and execution of the workshop.

The work

  • Maintain contact with academic organizers and workshop participants;
  • Coordinating all logistical and facility-related matters, such as inviting and registering participants, maintaining the workshop website, booking hotels and restaurants, and liaising with suppliers;
  • During the workshop week: welcoming participants, answering questions, and maintaining contact with various university departments (IT, Catering, Finance);
  • Handling correspondence, primarily in English;
  • Handling the administrative aspects of workshops using a Conference Management System, as well as monitoring and managing the finances;
  • Coordination of an average of 15 workshops running simultaneously, each at a different stage of the organizational process.
  • Other administrative and organizational tasks related to specific projects or the Lorentz Center as a whole.

The profile

  • You are an enthusiastic and professional team member with a proactive, stress-resistant, and problem-solving attitude;
  • You have strong social and communication skills and are service-oriented;
  • You can switch quickly between different tasks and work accurately;
  • You enjoy working in an academic environment and want to contribute ideas about our services and how to improve them;
  • You have a college-level education and demonstrable experience in event planning;
  • You have an excellent command of Dutch and English, both spoken and written, and you have extensive experience with common software such as MS Office, Adobe, and virtual meeting tools.

We offer

A versatile role within a close-knit team of fifteen colleagues, including six workshop coordinators. The position is preferably available starting December 1, 2022, in accordance with the Collective Labor Agreement for Dutch Universities, initially for a one-year term with the prospect of a permanent position upon satisfactory performance.

Depending on your education and work experience, the salary ranges from a minimum of €2,818 to a maximum of €3,764 gross per month for a full-time position (pay scale 8).
