The Lorentz Center, housed within the Faculty of Science at Leiden University, is a workshop center that hosts weekly international meetings for groups of 25 to 55 scientists. At two different locations, we organize approximately 80 workshops each year covering virtually all fields of science. During a workshop, scientists meet in person and virtually to discuss developments in their field in an open and stimulating environment.

The work

In this dynamic, organizational role, you will serve as the central hub within the team, connecting people and maintaining an overview. You will be the first point of contact for researchers who wish to organize a Lorentz Center workshop. You will be responsible for the processes surrounding the various evaluation rounds throughout the year and for planning 80 workshops annually across the two locations. Thanks to your interactions with organizers and board members, as well as your collaboration with colleagues, the evaluation rounds run smoothly.

You will be responsible for scheduling approximately 80 workshops per year:

Provide interested workshop organizers with information about the Lorentz Center and the process of organizing a workshop;
Communicate with all stakeholders (colleagues, workshop organizers, council members) regarding evaluation rounds and ensure that you receive the necessary information from the various stakeholders in a timely manner;
Monitor the timelines and processes related to the various evaluation rounds;
Scheduling approved workshops, keeping track of the schedule
Supervision of student assistants;
Maintain contact with the members of the Scientific Advisory Board;
Participate in specific projects of the Lorentz Center as a whole.

You have at least a college-level education and way of thinking
You work in a structured, independent, and meticulous manner
You're good at planning and keeping track of things
You have an affinity for the (international) world of science
You are persuasive and can easily switch between different people and tasks
You have an excellent command of both Dutch and English
You are proficient in MS Office and online registration systems
You have an interest in finance

We offer

You will be working in a team of enthusiastic colleagues. The appointment will be in accordance with the Collective Labor Agreement for Dutch Universities, initially for a period of one year. An extension is possible, depending on your demonstrated suitability. The salary, depending on education and work experience, ranges from a minimum of €3,226 to a maximum of €4,640 gross per month for a full-time position (scale 9).
