The office manager contributes to this by ensuring hospitality within the building, managing the day-to-day operations of the office, and supporting the processing of project applications and evaluations.
What will you be doing?
Your main duties and responsibilities are:
- You are Vfonds’s first point of contact. You ensure that visitors feel welcome and are greeted in a friendly manner, answer the phone and emails, and handle matters yourself whenever possible.
- You will ensure that the office maintains a professional appearance. You will manage the inventory of office supplies and other necessities. You will be responsible for the day-to-day management of the building. You will oversee the operations of external service providers, such as those responsible for cleaning and maintenance. You will serve as the primary point of contact for Vfonds’s long-term tenants.
- You are responsible for all logistical matters related to meetings. You book meeting rooms and ensure that visits and/or meetings are well prepared, including technical support as well as coffee, tea, and lunch if needed.
- You will set the agenda for team meetings, follow up on action items as needed, and manage the guest list.
- You will review project applications to ensure that all requirements are met, that the application is complete, and that the necessary documentation has been submitted.
- You will assist the organization and your colleagues with various administrative tasks and, when necessary, help organize events.
Where will you be working?
Vfonds is a small organization with three departments: Project Consulting, Operations, and Communications. You’ll be working in the Operations department as part of a team that welcomes your ideas. The atmosphere is informal at our pleasant office on Lucasbolwerk in downtown Utrecht.
What you bring to the table
For this position, we are looking for someone with strong organizational skills and a team player. You are able to work independently and have a genuine interest in Vfonds’s mission and goals.
In addition:
- Do you have at least a vocational education (MBO) level of work and thinking?
- Do you have at least two years of experience in a similar position?
- You are professional, organized, and take the initiative;
- You enjoy helping others. You are customer-focused, flexible, and have strong communication skills;
- You are proactive and reliable. You take responsibility and you do what you say;
- You work carefully and accurately;
- Proficiency in Dutch is required, as the position requires you to be able to communicate clearly with Dutch-speaking applicants.
These are the terms of employment
- This position is compensated according to Scale 7 of the Social Work Collective Bargaining Agreement (depending on education and experience, a minimum of €2,798 and a maximum of €4,182 per month based on a 36-hour workweek).
- We operate under an Individual Choice Budget. This means you can decide for yourself how to use your vacation pay, year-end bonus, and overtime pay.
- Your travel expenses will, of course, be reimbursed.

- The contract is for one year. If your performance is satisfactory, you may be offered a permanent contract.
