More about this organization
The Royal Concertgebouw in Amsterdam, an imposing red-brick building with white trim and classical columns.

The Concertgebouw is looking for aPlanning Assistant (F/M/X)for 38 hours per week (5 days).

As a Planning Coordinator at the Concertgebouw, you’ll work at one of the world’s most beautiful concert halls, in a place where there’s something new to experience every day. You’ll play a key role in making concerts and events possible by scheduling the various hospitality staff, who work as food and beverage/coat check attendants, ushers, tour guides, and party managers. Thanks to your knowledge and experience, and with the help of various software programs, you contribute to the planning and related tasks, such as creating work schedules.

About Het Concertgebouw

The Royal Concertgebouw is considered one of the world’s leading concert halls thanks to its unparalleled acoustics and its diverse, high-quality programming. Our mission is to connect and enrich as many people as possible through a sublime musical experience.

Our program includes classical, pop, hip-hop, jazz, children’s concerts, and film music. Each year, we host more than 900 events, attracting over 730,000 visitors. With our passionate and close-knit team, we strive to provide the very best experience for visitors, musicians, and staff.

Who are you?

  • You have knowledge and experience in planning, and preferably have knowledge and experience in the hospitality industry and, ideally, in management;
  • You have strong organizational and planning skills. You also think ahead and are good at identifying when your action is needed. You recognize problems and come up with a plan to solve them, as this role regularly calls for creative solutions;
  • You are proficient in using Office and Teams and are meticulous—you could even be called a stickler for detail;
  • You have strong verbal and written communication skills, and if you also have intercultural communication skills, we would welcome that;
  • You enjoy working with colleagues. When the situation calls for it, you’re willing to make tough choices and don’t put off making decisions;
  • You are able to handle confidential and personal information with integrity and professionalism;
  • In addition, you have strong interpersonal skills: good social skills, such as empathy and an approachable demeanor. You are able to naturally build rapport with employees while also setting boundaries.

No two people are alike. The Concertgebouw strives to be an organization where everyone feels welcome and safe—a place where employees can be themselves and are given the freedom and recognition they need to contribute to our mission in their own way.

What will you be doing?

Your main duties and responsibilities are:

  • You will serve as the point of contact for the various hospitality staff members—a group of about 125 dedicated and friendly colleagues who work in food and beverage service, the coat check, as ushers, tour guides, and party managers;
  • The schedules of the various hospitality staff members;
  • You will handle communication with these employees via phone, email, and newsletters;
  • You will perform scheduling tasks such as creating the schedule and work assignments, arranging for sick leave replacements, reviewing expense reports, and processing shift swaps and schedule changes. In addition, you will handle personnel administration;
  • Together with your colleagues, you will conduct recruitment and selection interviews for the hospitality/cloakroom team, and you will also meet with these employees during performance reviews;
  • Eventually, regular on-site presence in your role as a supervisor will also be part of your job responsibilities.

What does your team look like?

You will be part of the Planning Department, a dedicated and friendly team where you will communicate and collaborate closely with one another.

What do we offer?

  • A gross monthly salary between €1,940 and €2,911 based on full-time employment (38 hours per week);
  • Travel expense reimbursement;
  • With the free ticket program, you can attend concerts in what we consider to be the most beautiful concert hall in the Netherlands;
  • You can take training courses to keep your knowledge up to date and further your career;
  • A bicycle plan up to €749, including VAT;
  • You are accruing pension benefits;
  • And last but not least: you’ll be part of a dedicated, enthusiastic, and friendly team with a relaxed work environment.
