Functional Administrator

As an HR Systems Functional Administrator, you serve as the tactical link between the IT & Applications (I&A) and Human Resources (HR) departments. You will proactively work to optimize our HR tool, HR2day, and smaller applications, such as the digital signature program. You will ensure that our systems align with organizational needs and remain future-proof, serving as a systems strategist and process improver at the intersection of HR processes and IT. 

What will you be doing?

You will become the go-to expert on the HR system and take the lead on its ongoing development. With a clear understanding of opportunities and challenges, you will work with colleagues on prioritized areas for improvement that contribute to the optimal design and future-proof operation of HR2day. 

• You will analyze and optimize HR processes in HR2day, drawing on your knowledge of policy, payroll, personnel administration, and financial administration. In doing so, you will identify discrepancies between HR and financial data and develop comprehensive solutions that strengthen both HR objectives and financial controls, ensuring that HR2day remains compliant with both HR and financial standards. 
• You will work with HR to resolve incidents and, when necessary, coordinate with other teams within I&A or with suppliers. 
• You identify the needs of users and stakeholders and translate them into clear functional requirements, which you discuss with both internal teams and suppliers. 
• You will lead the further development of HR2day by combining analysis and consulting, in line with the strategic goals of I&A and HR. In doing so, you will support users with clear instructions, interactive guides, and documentation. 
• You will actively contribute to the professional development of the Functional Management team by documenting knowledge, improving processes, and applying Lean principles. 

What are you bringing?

• You have a bachelor’s or master’s degree (preferably in information management, HRM, Communication & Information Sciences, or business administration) and broad, in-depth knowledge of HR processes, including payroll and personnel administration as well as financial administration. 
• You are familiar with functional management methodologies and governance principles for business applications (such as BiSL) and apply them effectively in your work. 
• You have experience with or knowledge of HR systems such as HR2day (preferred); 
• You effortlessly switch between strategy, tactics, and practical implementation. This gives you the ability to strategically position operational management—you think ahead and provide guidance from a leadership perspective; 
• You have strong analytical skills, are customer-focused, and enjoy working as part of a multidisciplinary team. 
• You are proactive and organized, and have a natural ability to build connections between your key stakeholders, users, (technical) colleagues, management, and policy makers.

The Information Technology & Automation (I&A) Department is part of the Service Bureau at the Amsterdam University of the Arts (AHK). The Service Bureau brings together all the support services that assist the academies in achieving their goals. The Service Bureau is located in the heart of Amsterdam.

About the department 

The I&A department consists of four teams: Consulting & Business Information, Functional Management, Infrastructure & Technical Management, and the IT Service Desk. 
We maintain close ties with the various stakeholders and (core) users within the AHK. They are spread across multiple locations in Amsterdam. We actively reach out to them and welcome them—with a mindset of co-creation and service orientation. Together, we are working to further professionalize our services and optimize systems and processes within the organization. 

You will join the Functional Management team, a diverse group of nine professionals responsible for managing systems that support operations, education, and research at the Amsterdam University of the Arts (AHK). We work with an appreciation for each other’s strengths, apply Lean methodologies, and regularly coordinate both in person and online. 

Here's what we offer

We offer you a challenging position at a dynamic art college with an inspiring work environment in the heart of Amsterdam. 
Initially, you will be offered a one-year contract with the prospect of a permanent position. The gross monthly salary ranges from a minimum of €3,609.94 to a maximum of €4,909.21 based on full-time employment.
A Certificate of Good Conduct (VOG) is required for this position. 

The AHK offers attractive employment conditions in accordance with the collective labor agreement for higher professional education (CAO-HBO), including an end-of-year bonus of 8.3%, an ABP pension plan, a generous vacation policy, generous travel allowances, and opportunities for further education and professional development.
