As an executive assistant
- You take a lot of the workload off the Director’s hands, but you don’t mind if she occasionally schedules an appointment in her calendar or gets her own coffee;
- You know who, when, and why someone is on the schedule, but also when that’s not possible, and you’re able to explain that clearly and ensure that the Director is where she needs to be on time;
- prepare executive and department head meetings, take minutes, and follow up on the resulting actions and decisions;
- You will manage the administrative office for two foundations in consultation with the Executive Board;
- assess the importance and priority of your incoming (digital) communications and handle them independently whenever possible;
- Are you familiar with the official rules governing oral and written communication with the Royal Family?
- draft correspondence, minutes, and other documents;
- maintain contact with external parties, both domestically and internationally;
- You will therefore come into contact with the Director’s many different contacts both in the Netherlands and abroad, and you will know how to handle these relationships.
- You will be responsible for the agenda and materials for the regular meetings between the Executive Board and the Supervisory Board;
- you can be there without being noticed;
- Do you have an affinity for the cultural sector?
- you know when something is expected of you without being asked, and you act accordingly;
- You are the Director’s eyes and ears. She sees a lot herself, but not everything;
- Do you mind going the extra mile once in a while, knowing that it will pay off in other ways?
- Don't you mind if we have to do something that isn't listed above?
What we offer
- An inspiring and varied position for 30 hours per week (0.8 FTE; a full-time workweek is 37.5 hours) right in the heart of cultural Amsterdam.
- Depending on your knowledge, skills, and experience, your salary will be placed in pay grade 11: €3,803–€5,359 gross based on full-time employment.
- 8% vacation pay.

Who are we looking for?
The ideal executive assistant for our Director:
- has preferably completed a secretarial or management support program or has previously demonstrated relevant skills;
- is a strong planner and communicator and is capable of contributing ideas and maintaining an overview at a higher level;
- has several years of work experience in a similar position;
- has a sense of humor and isn't afraid to say no to her or be strict when necessary;
- will make sure she has her lunch and coffee on time so she can get through the day with plenty of energy;
- Isn't she one of those old-school "secretaries"?
- In addition to working with Office (PowerPoint, Outlook, etc.), she is also proficient in using AI tools that make the Director’s and her own work lives easier;
- has an excellent command of spoken and written Dutch and English; proficiency in German and/or French at the same level is definitely a plus;
- communicates easily at all levels and with everyone;
- is service-oriented and professional;
- can handle confidential information, acts with integrity and discretion;
- is not easily thrown off balance by unexpected situations and is therefore solution-oriented and flexible.
