At ProDemos, we are looking for a Public Affairs Day Coordinator for our Public Affairs department, working 20 hours per week.
What will you be doing as a day coordinator?
The Public Department is responsible for implementing all of ProDemos’s (educational) programs. The department consists of five team leaders, a planning and support team, coaches, day coordinators, and guides for educational programs and tours.
As a Day Coordinator at ProDemos, you will lead our day-to-day operations.
Your practical support ensures that our educational activities in The Hague and at schools, provincial governments, courts, and municipalities run smoothly.
You resolve issues and serve as the primary point of contact for our educational facilitators during the implementation of their programs.
In addition, you maintain regular contact with our partner organizations, such as the Senate and House of Representatives, and assist teachers and other guests.
Your work primarily focuses on the present and the future.
You identify major, recurring, and systematic bottlenecks and report them to the Public Team leadership, offering your input and advice on potential solutions.
What will you be doing?
- You will answer questions and resolve issues and challenges that arise during the implementation of ProDemos programs.
- You will provide operational guidance to the support staff and offer support and a listening ear when needed. Both you and the support staff report to a Public Team Leader.
- You will assist visitors, faculty, and partners (both internal and external) when they contact you with questions or issues.
- You serve as a key link between office staff and program coordinators. For example, you are able to effectively communicate the coordinators’ experiences to the Education and Projects departments. You participate in working groups and focus groups aimed at developing and improving our educational programs and support systems.
- Together with the other daily coordinators, you are responsible for ensuring that the schedule is implemented efficiently. You make sure the scheduling system is always up to date and make changes as needed.
- You identify and report issues in day-to-day operations and make recommendations to the team leaders in the Public Department to improve the process.
- To stay in touch with day-to-day practice and keep up with current developments, you will regularly observe the various programs and/or occasionally lead a program on your own.
Who are you?
You have strong problem-solving skills, are self-reliant, and have a forward-thinking mindset. Is a school running late, is an employee unavailable, or are visitors coming in with difficult questions?
You handle these situations with ease, staying calm and solution-oriented. You have experience as a troubleshooter, juggling multiple tasks daily and switching quickly between various responsibilities. A coordinating role in this context is a plus.
You help foster a positive and safe work environment at ProDemos and know how to motivate our staff to contribute to this as well.
You share ProDemos’s mission and goals. You can quickly adapt to working in a political and administrative environment. You are also able to handle difficult conversations—for example, with teachers and visitors—in a clear and welcoming manner.
In addition, you have basic first aid certification or are willing to obtain it in the near future.
We are looking for someone with the following qualities and skills:
- Organizational and planning skills: You accurately assess the necessary personnel and resources, set the right priorities, and ensure that everything is proceeding according to plan.
- Stress resilience: You can continue to perform effectively under time pressure, when faced with multiple or difficult tasks, social pressure, or setbacks.
- Team-oriented: You share knowledge and experience with colleagues, are service-oriented toward external partners, are an attentive listener, and actively contribute to the final result.
- Customer focus: You take the customer seriously and are committed to increasing customer satisfaction.
- Flexibility: You are able to adapt well to changes in your environment, work methods, work hours, tasks, and the behavior of others.
- Decisiveness: You are good at assessing cause and effect, take initiative, and are not afraid to make decisions.
- Communication skills (both verbal and written)
Availability
- You are available for 20 hours per week (spread over 2 days) and are willing to work on weekends about once every 4 weeks, as well as occasionally on holidays or public holidays.
- In addition, we ask that you be available for on-call duty by phone after your workday, between 7:00 a.m. and 8:45 a.m. or 6:00 p.m. and 9:00 p.m., including on weekends.
- We ask that you be flexible enough to cover for colleagues during peak periods, emergencies, and when colleagues are absent, in addition to your regular shifts throughout the year.
Who are we?
ProDemos is the “House of Democracy and the Rule of Law.” We explain the rules of democracy and the rule of law, and what you can do to make a difference—at the local, regional, national, and European levels.
For example, we do this by:
- We offer guided tours of the political heart of The Hague, including visits to the Senate and the House of Representatives
- Offering guest lectures at schools, town halls, county offices, and courthouses throughout the Netherlands
- Creating teaching materials
- Organize debates
- Teach courses
- Developing digital tools, such as the StemWijzer and Young Voice.
At ProDemos, we believe that democracy and the rule of law should be accessible to everyone. We therefore aim to reach as diverse an audience as possible through our programs, with interactivity and impartiality being key priorities for us.
What do we offer you?
- An interesting and varied work environment.
- A temporary contract for 20 hours per week for a period of one year. Subject to satisfactory performance and barring unforeseen circumstances regarding staffing, an extension is a possibility.
- Salary in accordance with the Social Work Collective Bargaining Agreement, Scale 7 (minimum €2,501 and maximum €3,494) based on full-time employment of 36 hours per week. The starting salary depends on education and experience.
- A flexible spending allowance (in the form of salary or vacation hours) equivalent to approximately 19% of the annual salary.
- An on-call allowance under the Social Work Collective Bargaining Agreement.
- Full reimbursement of your commuting expenses based on second-class public transportation fares.
- Opportunities for professional development; for example, you’ll have access to a personal career budget and an online learning platform offering a wide range of training courses.
