One of my primary responsibilities is supporting our Clerk. He is ultimately responsible for the administrative organization of the Senate. A nice aspect of this role is that the work naturally involves a great deal of variety. Tuesdays, for example, are reserved for Senate debates. This is the most intense day for the Clerk, and it’s all hands on deck in the office and in the meeting rooms as well. Other days are more focused on preparing for or implementing the decisions that have been made. Work visits also take place on these days, or we receive (foreign) visitors. During recess periods, the House does not meet, and we have more time for professional development, drafting policy plans, and updating our work processes.
Your support role is wide-ranging. For example, you ensure the proper management of email inboxes and calendars, prepare correspondence, and archive relevant documents. You manage contact information, organize meetings, and assist your “clients” in using applications and systems. You also represent the Registrar in internal project groups. In all these tasks, you think ahead and put yourself in the shoes of others. Who needs to be informed? What actions need to be taken? What information does the Registrar need? You pick up on things quickly and can accurately assess which tasks you can handle yourself and which ones should be left to them. Fortunately, you’re not on your own in this. You’ll work closely in a team with an experienced colleague, and other colleagues will also provide expert input from their respective fields.
In addition to providing direct support to the Clerk, we would appreciate it if you could also take on organization-wide tasks. This might involve assisting a department head, or helping to organize events. Examples include a role within the Association of Former Senators or the organization of symposia and lectures. This will give you a broad perspective on the work of the Senate, enabling you to support the Clerk even more effectively. At the same time, it offers you the opportunity for personal growth.
As a management assistant at the Senate, you are, at your core, service-oriented and a team player. You enjoy working with a wide variety of personalities.
