Framer Framed is looking for an Office Manager to work 32 hours per week starting in September 2024.

Framer Framed is an Amsterdam-based art venue that presents leading international exhibitions and public events at the intersection of contemporary art and politics. It features work by both established and emerging artists active worldwide who engage with social issues, and provides a space for performances, theater productions, and lectures.

The location in Amsterdam East consists of a large exhibition space, a workshop space, and a small room suitable for smaller public gatherings. In Noord, there is a community space programmed by Framer Framed: Werkplaats Molenwijk. Organizations like ours strive to contribute to the discussion of societal issues, and we do so in collaboration with others. Based on jointly defined challenges, artists and arts organizations, colleges, universities, and the social sector come together in practice-oriented research.

Your role as Office Manager

In recent years, the Framer Framed team has grown into a medium-sized cultural institution with staff members, freelancers, volunteers, and interns spread across the departments of Exhibition Research, Exhibition Production, Residencies, Communications & PR, and Education. Two directors oversee the departments and are responsible for artistic and business management, strategic policy, finances, human resources, fundraising and financial reporting, partnerships, and reporting to the Supervisory Board and the Board of Directors.

As an office manager, you are the primary point of contact for the management and staff of Framer Framed. You will manage schedules and provide support to management in the areas of HR, administration, and organization. You are able to effectively manage the management team’s time in a structured manner. Both the implementation and support of HR and organizational matters are in good hands with you. Together with the office assistant, you are responsible for all office and facility matters. You are responsible for performing support and administrative tasks in the areas of financial and payroll administration. You will prepare and distribute information regarding insurance and pensions. You will handle internal and external inquiries.

Your responsibilities

  • Executive support: coordinating meetings, managing schedules.
  • Supporting management with HR matters (scheduling performance reviews, handling sick leave, liaising with the occupational health and safety department, managing employee and independent contractor contracts, coordinating volunteers, and posting job openings online)
  • Preparing for Board of Trustees meetings (scheduling, documents, etc.)
  • Monthly Board of Trustees update (e.g., press coverage) + archiving
  • Financial administration support;
  • Drafting contracts and partnership agreements;
  • Support for annual reporting – textual contributions regarding HR and the organization;
  • Keep track of outgoing grant applications, accountability criteria, and deadlines;
  • Supervising an office assistant

  • You are the linchpin of our organization, enjoy keeping track of things, are meticulous and organized, and have a knack for organizing and managing administrative tasks;
  • Results-oriented, able to handle stress, organized, decisive, and able to conduct meetings.
  • You can respond flexibly, persuade others, respond with sensitivity, network effectively, understand the environment, act in a customer-focused manner, demonstrate organizational awareness, be proactive, be planning-oriented, and exhibit leadership skills.
  • You have excellent verbal and written communication skills in both Dutch and, preferably, English;
  • You have an interest in art and culture;
  • You live in (or near) Amsterdam;

What do we offer?

  • This is a 32-hour-per-week position for a one-year term, with the possibility of extension. A reduced number of hours may be considered, provided they are spread over 4 days. The salary is in accordance with the Guidelines for Job and Salary Structures at Visual Arts Presentation Institutions, plus 8% vacation pay; there is a private pension plan, and 25 vacation days per year based on full-time employment.
