What will you be doing?

As the Planning & Flex Manager, you support your team members and make decisions when necessary. You are responsible for further developing the vision for capacity management and scheduling within Arkin. You translate this vision into concrete actions and, together with the operations managers at the clinics, ensure its implementation within the organization. In addition, you have a commercial mindset and maintain contact with external parties to effectively organize the deployment of flexible staff (PNIL) and negotiate competitive pricing agreements.

You will be part of the HR management team and report to the HR Director. You enjoy working collaboratively to promote the broader HR vision.

Your responsibilities:

  • Managing and coaching planners and flex coordinators:
  • You will lead a team of seventeen staff planners, one planner/administrative assistant, five flex coordinators, and one project manager. You will ensure that they are well-prepared to do their jobs, but also that they have opportunities for professional growth and enjoy their work. You will provide support when needed, but also give them the freedom to work independently. You will be indirectly responsible for approximately two hundred flex employees.
  • Develop and implement strategic capacity management:
  • Together with the executive board and management, you will work on the long-term strategy for capacity management. You will ensure that this strategy is put into practice and effectively implemented within the organization, so that scheduling aligns perfectly with the teams’ demands and the needs of employees.
  • Maintaining contact with external parties and procurement:
  • You will maintain contact with external parties regarding the deployment of flexible staff (PNIL) and work with the procurement team to secure favorable pricing agreements.
  • Performing management tasks related to on-call services within the emergency and recovery teams:
  • As the Planning and Flexibility Manager, you serve as the point of contact for psychiatrists and physicians (representatives), operations managers, and the director of on-call services. You initiate and develop policies (and policy changes) in collaboration with the psychiatrists, physicians (and their representatives), and the director. You inform the psychiatrists, physicians, and operations managers about relevant changes and developments regarding the on-call services and ensure that the service manual is up to date.

What do you bring to the table?

You are a manager who doesn’t shy away from complex challenges in the labor market. You have a clear vision and know how to put it into practice. You are a team player, empathetic, and possess organizational and political acumen.

  • You have three to five years of experience in a leadership role and are accustomed to coaching and supporting people;
  • Have experience with capacity management and understand how to strategically design and implement it;
  • You are proactive and able to switch easily between different levels within the organization;
  • Have experience working with external partners;
  • You have a college or university level of work and thinking and excellent communication skills.
