Het Nieuwe Instituut is seeking a Board Support Specialist toassist the board member and serve as board secretary (32–36 hours per week).
Job Description
The core of the role is to provide professional and proactive support to the Executive Secretary and a member of the Board of Directors (General/Artistic and Business Director) in the areas of secretarial and administrative tasks, as well as relationship management. You will play a central role within the organization and serve as the supporting link between the Board of Directors, the Executive Secretary, the managers, and external stakeholders. You are the gatekeeper of information flows and have a monitoring and managing role in this regard. You are part of the executive secretariat team and will collaborate with a fellow Executive Support Specialist.
This role requires a high level of organizational and planning skills, the ability to multitask, and the capacity to provide optimal support. This support includes responsibilities such as managing the (sometimes complex) executive schedule, handling client relations at the executive level, and organizing, preparing for, and, when necessary, taking minutes during meetings. You will monitor processes and track deadlines. You will welcome clients; prior to their arrival, you may have booked travel, flights, or hotels. Ad hoc tasks always arise, so prioritization is essential. In an administrative capacity, you will provide support in maintaining the meeting schedule, drafting meeting minutes, ensuring the availability of documents, and properly archiving records.
Who are you?
You are accustomed to working at the college level and preferably have experience in a similar position. You are a natural organizer and feel at home in the cultural world. You have excellent command of the Dutch and English languages, both spoken and written, as well as thorough knowledge of the Microsoft Office suite.
You are able to handle stress well and can deal with confidential documents effectively and discreetly. You work carefully, with an eye for detail and a focus on preventing errors. You are adept at anticipating all kinds of (ad hoc) situations and can oversee situations and processes over time; you have a solution-oriented mindset and work ethic. You enjoy being the central hub while maintaining a calm demeanor. You can work well independently but also collaborate effectively. You have a flexible work ethic.
We offer:
A one-year employment contract, with the possibility of extension. Depending on your education and experience, the salary ranges from EUR 2,727 to EUR 3,489 per month for full-time (36-hour) employment.
