ABOUT OORKAAN
For over twenty years, Oorkaan has specialized in creating theatrical concerts of the highest international caliber. With professional musicians, Oorkaan performs award-winning theatrical concerts for young audiences. Oorkaan helps as many young and old ears as possible discover the infinite world of music. Classical music from around the world, past and present, is presented in theatrical and surprising forms. Just like a concert, an Oorkaan production is (almost) wordless, with only musicians on stage. The core Oorkaan team consists of approximately 14 colleagues, four of whom form the Oorkaan ensemble. In addition, we work with many freelancers to create and perform productions all over the world.
ABOUT THE ROLE
The Office Manager is an indispensable part of the Oorkaan team’s workflow and ensures that all secretarial and administrative processes run smoothly. You are the professional and tactful host or hostess who keeps the recently redesigned office in tip-top shape. You also serve as the right-hand person to the Artistic Director and Business Manager in their leadership roles.
The work includes, among other things:
- Handling customer inquiries; you are the first point of contact for the general phone number and info@oorkaan.nl;
- Managing the executive team’s schedule, including scheduling appointments, keeping the CRM system up to date, and booking business trips;
- Drafting and managing contracts, and providing administrative support for mail processing, HR, and finance;
- Supporting relationship management by preparing meetings and facilitating activities;
- You are responsible for managing office supplies and maintenance by coordinating external cleaning services, IT vendors, and the volunteer; you serve as the primary point of contact for colleagues regarding these matters;
- Office key management, point of contact for the landlord, and onboarding and offboarding of colleagues;
- Support throughout the process of preparing the annual report and financial statements.
PROFILE
- A relevant vocational or college degree in administration or secretarial work
- Proficiency in spoken and written Dutch and English
- A few years of work experience in a similar position is preferred

- is service-oriented, has strong communication skills, and can handle stress;
- takes the initiative in handling (administrative) tasks and ensures that everyone involved is well informed;
- works carefully and systematically and maintains an overview;
- works independently and identifies issues from a supportive role;
- has an affinity for the cultural sector and a talent for relationship management;
- has an eye for the office’s atmosphere and ambiance;
- lives in Amsterdam or within commuting distance of Amsterdam;
- preferably holds a Class B driver's license;
- preferably has experience with Office 365 and is proficient in Excel.

- Salary based on Scale V of the Collective Bargaining Agreement for Theater and Dance.
