Who We're Looking For

You are an experienced executive assistant who is accustomed to working in a dynamic environment and thrives on providing optimal support to the CEO. You have strong communication skills, can work independently, are detail-oriented, can set priorities, and know how to handle confidential information appropriately. You have strong digital skills, are proficient in using Outlook and Word, among other tools, and quickly adapt to new systems. You have an excellent command of both Dutch and English, both verbally and in writing—whether it involves clear reports, formal letters, or accessible emails.

What are you going to do?

As an executive assistant, you will provide organizational and secretarial support to our general director. You will be responsible for managing his schedule and will be involved in preparing for and taking minutes at meetings. You will work closely with the assistants to the opera and ballet directors, and you will support and coordinate planning matters with the head of the strategy and policy department. You will also be in regular contact with external parties such as (the offices of) city council members, government agencies, sponsors, and international fellow directors. You will schedule appointments, coordinate the flow of information, and ensure that processes run smoothly. In addition, you will provide secretarial and organizational support to the Board of Trustees.

The main duties and responsibilities of this position are:

  • complex calendar management;
  • scheduling and organizing both internal and external meetings;
  • monitoring action items and deadlines;
  • preparing for and taking minutes of meetings;
  • drafting emails and letters;
  • booking travel and accommodations;
  • welcoming visitors and guests.

What we expect from you

You are a team-oriented and solution-focused professional who enjoys providing the best possible support to an executive. You understand what it takes to keep things running smoothly and take the initiative to make it happen. Collaboration comes naturally to you, because you know that effective support depends on effective coordination and communication.

You have extensive experience in a similar support role and feel right at home in a fast-paced environment where quick thinking is the norm and plans can change unexpectedly.

An interest in opera and ballet—or simply a curiosity about these art forms—is welcome, but not required.

What we offer

  • A one-year contract with the possibility of permanent employment; 
  • A salary ranging from €3,228 to €4,474 (based on a 38-hour workweek), depending on your knowledge and experience. This amount does not include vacation pay (As stipulated in the NO&B collective bargaining agreement, the following wage increases have been agreed upon for 2026: 1% effective January 1, 2026, and 3% effective July 1, 2026);
  • 30 vacation days and 5 compensatory time off days (for full-time employees); 
  • 8% vacation pay and a good pension plan;
  • An attractive package for our opera and ballet performances;
  • Education and training opportunities;
  • A contribution toward a gym membership;
  • A travel allowance of €0.23 per kilometer for trips of 8 kilometers or more one way;
  • The NO&B collective bargaining agreement applies to this position;
  • You’ll be working in a unique location in the heart of Amsterdam, surrounded by creativity and craftsmanship.
