About the role

As a department assistant, you play a central role in providing organizational and administrative support to the Head of Production and Performance Management and the entire department. You ensure structure and clarity by managing complex schedules, preparing for and taking minutes of meetings, and maintaining accurate schedules. In addition, you identify areas for improvement in administrative processes and contribute to efficient workflows within the department. You ensure clear communication and provide administrative support to event managers and production managers. Stepping in to facilitate a presentation or assist with a digital setup is no problem for you. The main tasks and responsibilities of this position are:

General Support

  • Manage and update MS Teams, ERP, and other systems.
  • The first point of contact for questions within the department.
  • Organizing team-building activities and anniversary celebrations.
  • Contributing to working groups, internal processes, and the archiving of operational information.

Support for productions & events

  • Manage the event calendar and communicate with internal stakeholders.
  • Administrative support for events and productions.
  • Providing occasional technical support for presentations.
  • Identifying and resolving scheduling conflicts.

Organizational support

  • Manage the department head's schedule and coordinate appointments.
  • Organizing and taking minutes for departmental meetings, among other things.

Administrative & HR Support

  • Keeping planning and scheduling overviews up to date.
  • Monitoring vacation requests and identifying calendar conflicts.
  • Support with staff scheduling and the deployment of temporary workers.

What we expect from you

You are a proactive, communicative, and organized professional who thrives in a dynamic work environment. You are digitally savvy and have experience with Microsoft Office and standard software such as AFAS. You are solution-oriented, work with precision, and have an eye for detail. With your hands-on approach, you can adapt quickly and maintain a clear overview, even in hectic situations. In addition, you have a service-oriented mindset, contribute ideas for improvements, and foster a positive working relationship.

What we offer

  • a one-year contract with the possibility of a permanent position; 
  • a salary ranging from €2,875 to €3,971 (based on a 38-hour workweek), depending on your knowledge and experience. This amount does not include vacation pay; 
  • 30 vacation days and 5 compensatory time off days (for full-time employees); 
  • 8% vacation pay and a good pension plan;
  • an attractive package for our opera and ballet performances;
  • education and training opportunities;
  • a contribution toward a gym membership;
  • a travel allowance of 0.23 per km (if you live 8 km or more from your regular workplace);
  • The NO&B collective bargaining agreement applies to this position.
