The Lorentz Center, housed within the Faculty of Science at Leiden University, is a workshop center that hosts weekly international meetings for groups of 25 to 55 scientists. At two different locations, we organize approximately 80 workshops each year covering virtually all fields of science. During a workshop, scientists meet in person and virtually to discuss developments in their field in an open and stimulating environment.

The initiative for a workshop comes from the researchers themselves. The Lorentz Center assists them with the preparations and handles as much of the organizational and administrative work as possible, so that the researchers can focus on the substantive content of their workshop. Each workshop has its own workshop coordinator, who independently and in close collaboration with the researchers handles the organizational preparation and execution of the workshop.

The work

At the Lorentz Center and on specific projects, there are opportunities to put your administrative and organizational skills to use. 

  • Maintain contact with academic organizers and workshop participants;
  • Coordination of all logistics and facilities-related matters; 
  • During the workshop week: you will welcome participants, answer questions, and maintain contact with various departments within the university (IT, Catering, Finance);
  • Handling correspondence, primarily in English; 
  • Handling the administrative aspects of workshops using a Conference Management System, as well as monitoring and managing the finances; 
  • Coordination of an average of 15 workshops running simultaneously, each at different stages;
  • Other administrative and organizational tasks related to specific projects or the Lorentz Center as a whole.

The profile

  • You are proactive and able to handle stress well. You also have a professional demeanor and a problem-solving mindset; 
  • You have strong communication skills and are a people person;
  •  You switch quickly between different tasks and work with precision;
  • You enjoy working in an academic environment and actively contribute ideas about our services and how to improve them; 
  • You have a college-level education and demonstrate the ability to think critically, and you have proven experience in event planning; 
  • You have an excellent command of the English language, both spoken and written, and you have extensive experience with common software such as MS Office, Adobe, and virtual meeting tools.

Description of the Faculty of Mathematics and Natural Sciences

The Faculty of Mathematics and Natural Sciences is a leading faculty where staff and students work in a dynamic, international environment that places a high priority on personal and academic development. Research within the Faculty of Mathematics and Natural Sciences ranges from mathematics, computer science, astronomy, physics, chemistry, and biopharmaceutical sciences to biology and environmental sciences, and is carried out across eight institutes. These institutes also offer ten bachelor’s and fourteen master’s programs. The faculty has grown significantly in recent years and now has more than 2,300 staff members and nearly 5,000 students. We are located in the heart of the Bio Science Park, one of Europe’s largest science parks, where the university and the business community come together.

A versatile role within a close-knit team of fifteen colleagues, including seven workshop coordinators. The position is governed by the Collective Labor Agreement for Dutch Universities and is initially for a one-year term, with the possibility of a permanent position subject to satisfactory performance.

Depending on your education and work experience, the salary ranges from a minimum of €2,818 to a maximum of €3,764 gross per month for a full-time position (pay scale 8).
