What are you going to do?
As a secretary, you will be working for the Ombudsman and Confidentiality Affairs Department. This department makes a valuable contribution to a safe and healthy learning and working environment within Amsterdam UMC. In this role, you will play an important and supportive role in the day-to-day processes and activities of the ombudsman, the Ombudsman and Confidentiality Affairs advisors, the project leader, and the department’s confidential advisors.
Your responsibilities will include:
- Handling phone calls, correspondence (email), and schedule management.
- Taking minutes at various meetings and monitoring the progress of the resulting action items.
- Performing organizational tasks, whether preparatory or otherwise, in support of (online) gatherings, meetings, and courses.
- Supporting internal and external communication, maintaining relationships, and contributing to the department’s visibility and discoverability.
- Providing support to the ombudsman, the Ombuds and Confidentiality Advisors, and the project leader, among others, for the day-to-day processes within the department.
- Performing general tasks and various duties (whether project-based or not) to ensure the smooth day-to-day operation of the secretariat and its external operations.
What should you bring?
- College-level work and thinking skills.
- Experience in an administrative role is a plus.
- Proficiency in Dutch, both spoken and written. Proficiency in English is a plus.
- An interest in social safety.
- Extensive knowledge of Microsoft Office, particularly Outlook, Word, Excel, and Teams.
- Knowledge of and/or experience with Oracle and SharePoint is a plus.
You are friendly, open, and approachable to colleagues both within and outside the Ombuds and Confidential Affairs department. You connect with others naturally, possess strong social skills, and have a good sense of interpersonal dynamics, enabling you to adapt to different levels of interaction. During busy periods, you remain calm and maintain a clear overview, distinguish between main and secondary issues, and handle integrity and confidentiality with care. You enjoy working collaboratively in a collegial team.
What we offer you
- A one-year contract with the possibility of a permanent position.
- Salary range 7: €3,020to€4,041 gross for full-time employment (depending on education and experience). You will also receive an 8.3% year-end bonus.Calculate your net salary here.
- Vacation hours: 190.4 hours per year for full-time employees, with the option to accrue additional hours.
- Pension accrual through the ABP, for which we pay 70% of the contribution.
- For distances of 7 km or more (one way), 100% public transportation reimbursement; for personal transportation, €0.18 per km up to a maximum of 40 km one way.
- Do you prefer to walk or bike? Take advantage of our generous bike allowance. You’ll receive €0.18 per kilometer.
- Free and unlimited access to training courses from providers such as GoodHabitz in our learning environment.
- An active staff association and the Jong Amsterdam UMC association, both of which organize fun (sports-related) activities and events.
Where and with whom do you work?
You will be working in a relatively small and close-knit team. In addition to you as a secretary, the team consists of an ombudsman, two Ombuds and Confidentiality Advisors, a social safety project leader, and nine confidential advisors for inappropriate behavior and integrity. You will work 24 hours per week. We will determine how you allocate these hours in consultation with you. You will be working at both Amsterdam UMC, AMC location and VUmc location.
