As a secretary, you will be working in the Ombudsman and Confidential Matters Department. This department plays a vital role in fostering a safe and healthy learning and working environment at Amsterdam UMC.

What will you be doing?

In this role, you will play a key supporting role in the day-to-day processes and activities of the ombudsman, the Ombuds and Confidentiality Advisors, the project leader, and the department’s confidential advisors.

Your responsibilities will include:

  • Handling phone calls, correspondence (email), and schedule management.
  • Taking minutes at various meetings and monitoring the progress of the resulting action items.
  • Performing organizational tasks, whether preparatory or otherwise, in support of (online) gatherings, meetings, and courses.
  • Supporting internal and external communication, maintaining relationships, and contributing to the department’s visibility and discoverability.
  • Providing support to the ombudsman, the Ombuds and Confidentiality Advisors, the project leader, and others in the day-to-day operations of the department.
  • Performing general tasks and various duties (whether project-based or not) to ensure the smooth day-to-day operation of the secretariat and its external operations.

What are you bringing?

  • College-level work and thinking skills.
  • Experience in an administrative role is a plus.
  • Proficiency in Dutch, both spoken and written. Proficiency in English is a plus.
  • An interest in social safety.
  • Extensive knowledge of Microsoft Office, particularly Outlook, Word, Excel, and Teams.
  • Knowledge of and/or experience with Oracle and SharePoint is a plus.

In addition, you enjoy working collaboratively within a supportive team.

What do we offer?

  • A one-year contract with the possibility of a permanent position.
  • Salary range 7: €2,932to€3,923 gross for full-time employment (depending on education and experience). You will also receive an 8.3% year-end bonus.Calculate your net salary here.
  • Vacation hours: 190.4 hours per year for full-time employees, with the option to accrue additional hours.
  • Pension accrual through the ABP, for which we pay 70% of the contribution.
  • For distances of 7 km or more (one way), 100% public transportation reimbursement; for personal transportation, €0.18 per km up to a maximum of 40 km one way.
  • Do you prefer to walk or bike? Take advantage of our generous bike allowance. You’ll receive €0.18 per kilometer.
  • Free and unlimited access to training courses from providers such as GoodHabitz in our learning environment.
  • An active staff association and the Jong Amsterdam UMC association, both of which organize fun (sports-related) activities and events.

You will be working as part of a small team. In addition to you, the team consists of the ombudsman, two advisors for ombudsman and confidential matters, a social safety project manager, and nine confidential advisors for inappropriate behavior and integrity.
