Project Administrator
26–30 hours per week
As a Project Administrator, would you like to apply your financial skills to projects at an independent knowledge institute? Are you interested in working on sustainability in the broadest sense? Then this position is perfect for you!

About the Louis Bolk Institute

The Louis Bolk Institute has been in existence for over 45 years, and together with nearly 60 colleagues, we develop knowledge using an integrated approach and a systems perspective. We work to strengthen natural systems and processes, whether in an agricultural area, a business, an urban neighborhood, or with a patient. We do this in collaboration with stakeholders using participatory methods. In this way, we make a concrete contribution to health and vitality, a resilient natural environment, an inclusive food system, and a sustainable living environment.

What will you be doing as a project administrator with us?

As a project administrator, you will set up and maintain the financial and administrative aspects of research projects and handle the project administration. You will serve as a sounding board for project leaders and the project controller, drawing on your financial expertise. You will monitor financial planning for projects, schedule meetings, and follow up on deadlines. You will have a high degree of autonomy in preparing reports and invoices, which will be reviewed by project leaders for general accuracy and approved before being sent externally. Additionally:

  • prepare external financial reports, interim reports, financial statements, and invoices;
  • Review the award letters and translate them—in consultation with the business developer or controller, if necessary—into the project administration system;
  • monitors project budgets and the existence of valid agreements, and identifies deviations or cost overruns;
  • responsible for accounts receivable management and monitoring deadlines for outstanding loans;
  • ensure that procedures are followed in accordance with the Administrative Organization (AO);
  • verify your payments and make them available;
  • Do you have frequent discussions with the project leaders of the projects in your area of responsibility?

What do we expect from you as a project administrator?

You are just as motivated as our researchers are passionate. You are self-reliant, results-oriented, and, above all, decisive. You excel at planning your work and are both meticulous and independent. With your problem-solving skills, you keep every project under control. In addition, you have:

  • strong communication skills (both written and verbal);
  • basic knowledge of accounting and bookkeeping;
  • preferably experience with project administration, including time tracking and grants;
  • proficiency in administrative systems, preferably Exact Globe;
  • excellent command of Dutch and English;
  • at least 2 years of relevant work experience;
  • MBA+ or a bachelor's degree in Business Administration or a similar program.

What do we offer you as a project administrator?

You can expect a lot from us. You’ll be joining an ambitious organization where the workplace is characterized not by hierarchy, but by a sense of community. The Louis Bolk Institute embraces diversity in all areas and believes that diversity strengthens the organization. While the Louis Bolk Institute is not yet equally diverse across all areas, the management is actively working toward this goal and supports employees as needed. We offer you, among other things:

  • A dynamic and challenging people-oriented work environment
  • A gross salary of €2,313.00–€3,695.00 per month based on full-time employment (38 hours)
  • 8% vacation pay, and you can exchange certain pay components through the flexible compensation plan
  • An easily accessible workplace in Bunnik by car or public transportation
  • Flexible remote work; fixed remote work days are not required for this position
  • 25 days off per year based on full-time employment
  • Good pension plan
  • An appropriate travel expense policy
  • A tuition assistance program
  • Prospect of a permanent contract
