The Executive Assistant is a key role within a small, dynamic team of professionals who manage an extensive international network of higher arts education institutions. As ELIA’s Executive Assistant, your top priority will be to serve as the right-hand person to ELIA’s Executive Director. In addition, you will ensure the smooth operation of the ELIA team and office. This will include planning team meetings as well as those of ELIA’s Representative Board and Executive Group, and some of ELIA’s international working groups. You will serve as the Executive Director’s personal assistant and handle all her arrangements for (frequent) travel and business meetings.
Tasks and Responsibilities
- Make travel arrangements and other appointments for the Executive Director and serve as her personal assistant.
- Update the ELIA database based on networking input provided by the Executive Director, in collaboration with the membership team.
- Arrange meetings for ELIA’s Representative Board and Executive Group and communicate with board members; take minutes of the Representative Board and Executive Group meetings.
- Schedule ELIA team meetings and take minutes.
- Prepare for the biannual elections and annual General Assemblies, in collaboration with the Membership team.
- Work with the Executive Director and/or other team members to organize team-building and recreational events.
- Be responsible for the day-to-day operations of the ELIA office, in collaboration with the Finance Manager. This will include answering the phone, posting and processing job applications, managing office supplies and mail, arranging for office space maintenance, liaising with the building managers, and performing some maintenance tasks for the ELIA Team’s digital and online workspaces.
- Help organize ELIA events as needed. This may occasionally involve travel and longer workdays.
Profile
- You have a college degree or have gained relevant work experience.
- You are fluent in English and have a good command of Dutch; additional language skills are a plus. You are exceptionally well-organized and enjoy getting things done quickly and accurately.
- You are discreet, diplomatic, and know how to interact with different groups and nationalities. Providing excellent service is important to you.
- You are a proactive team player who connects with others easily.
- You have some experience in developing systems for organizing and sharing (complex) information. Your computer skills are excellent; you are proficient in the Microsoft Office/Office 365 suite and are able to teach others what you know.
- You are also willing to become proficient in the other digital tools used by ELIA’s partially remote team to collaborate, such as Monday.com, Your Membership, and Zoom.
- You are a quick thinker, easily able to keep up with a multi-tasking Executive Director and team.
- A strong interest in the arts and (higher) arts education, along with a strong desire to learn, will be an asset to you as a candidate.

- Salary ranging from EUR 2,243 to EUR 3,145 for a full-time position, adjusted according to the part-time percentage.
