We are looking for an executive secretary for the Almeerse Scholen Groep; a proactive networker with organizational skills

The Almeerse Scholen Groep (ASG) is the school district governing body for 37 elementary schools, 2 special education elementary schools, and 8 secondary schools in Almere. We are committed to providing high-quality, accessible education for every child between the ages of 4 and 18. Every child is different, learns differently, and develops in their own way. Thanks to our quality and diversity, we can offer children the school that best suits them. Shaping education together: that’s what ASG stands for!

Your profile

You are a connector who effectively coordinates with the right people and collaborates easily with a diverse range of individuals. You are approachable and flexible. You can quickly assess situations and understand people. You are able to exert influence in a pleasant manner that is accepted by everyone. In a large organization like ASG, you understand how the core process works, what key issues and challenges exist, and how to translate ASG’s strategic goals into tactical steps for the secondary and primary education boards. You maintain a broad perspective. At the same time, you play a key role in identifying and prioritizing urgent issues within the core process. In consultation with the members of the executive boards, you help build a robust consultation and governance structure, with the goal of ensuring decisions are made where they belong. You recognize and acknowledge different interests within the organization and are well-equipped to navigate them. You know how to ask the right questions, are tenacious but can also let go when you realize it is better for the greater good. To reconcile the various interests, you possess political and administrative sensitivity. You have a background in organizational studies (organizational psychology), business administration, or a field related to change management. You have several years of work experience as an executive secretary or advisor, or, for example, as a process/change manager at the strategic level within a large public sector organization. You enjoy taking the pressure off others and know exactly how to do so, ensuring that processes and procedures run smoothly.

Key challenge of the role

ASG is undergoing a transition in which cultural change and professionalization are key priorities. The position of executive secretary is a new one, as the executive meetings for primary and secondary education need to be structured appropriately. The challenge is to organize the essential topics from the ground up and adopt a more bottom-up approach, so that discussions take place at the appropriate level. As an organizational and behavioral expert, you will engage with the relevant principals and headmasters to jointly develop a well-functioning executive meeting process. In addition, you will ensure that the right topics are brought to the appropriate executive meetings.

  • Strong organizational skills
  • Open attitude
  • Strong communication skills
  • People-oriented
  • Organizational sensitivity

What will you be doing?

You will serve as secretary for meetings of the Primary and Secondary Education Executive Boards and the Service Bureau Management Team. These three consultative bodies constitute the decision-making and advisory layer below the Executive Board and are responsible for organizing educational and support processes and overseeing operational implementation. In addition, they provide advice on strategic issues determined by the Executive Board. For these meetings, the Executive Secretary serves as the secretary, with whom you will work closely. For rectors and cluster directors, you are the first point of contact for the Executive Office and assist them with issues related to decision-making and coordination. You advise and support the Executive Secretary and the Executive Board on matters concerning decision-making structures and processes.
You study and keep abreast of developments in the fields of education and organizational science that are relevant to the role of executive secretary. You serve as a substantive sparring partner, sounding board, and confidant to the executive secretary on decision-making issues. You work closely with colleagues in the executive office and maintain good contact with deans, cluster directors, and team leaders in the service bureau. As executive secretary, you report to the executive secretary.

The salary is up to €6,665 gross per month for a full-time position and is based on education and experience. ASG offers a comprehensive package of benefits, including generous vacation time and a 13th-month bonus. In addition, ASG (through the ASG Academy) provides excellent opportunities for learning and professional development, and employees are encouraged to pursue ongoing growth.
