The Executive Assistant is a key position in a small dynamic team of professionals who manage an extensive international network of higher arts education institutions. As ELIA’s Executive Assistant, your top priority will be, to be the right and left hand of ELIA’s Executive Director. In addition, you will ensure the smooth running of the ELIA team and office. This will include the planning of team meetings and that of ELIA’s Representative Board and Executive Group, as well as some of ELIA’s international working groups. You function as personal assistant to the Executive Director and take care of all her arrangements for (frequent) travel and business meetings.
Tasks and Responsibilities
- Make (travel) arrangements and other appointments for the Executive Director and function as her personal assistant.
- Update the ELIA database on networking input provided by the Executive Director, in collaboration with the membership team.
- Make arrangements for ELIA’s Representative Board and Executive meetings and communicate with board members; minute meetings of the Representative Board and Executive Group.
- Schedule ELIA team meetings and minute them.
- Prepare the biannual elections and annual General Assemblies, in collaboration with the Membership team.
- Together with the Executive Director and/or other team members, prepare team strategic and fun days.
- Be in charge of the running of the ELIA office, in collaboration with the Finance Manager. This will include first response on the telephone, posting and processing job applications, supplies and post, arranging care for office space, contact with the office building managers, some maintenance tasks for the ELIA Team’s digital/online (co-) working spaces.
- Partake in the preparation of ELIA events as required. Occasionally, this will involve travel and extended working days.
Profile
- You are educated to degree-level or have acquired the relevant work experience.
- You are fluent in English and have a good command of Dutch, more language skills are an asset. You are exceptionally well organised and enjoy getting things done fast and correctly.
- You are discrete, diplomatic and you know how to liaise with different groups and nationalities. Providing excellent service is important to you.
- You are a pro-active team player and connect with others easily.
- You have some experience in developing systems for organising and sharing (complex) information. Your computer skills are excellent; you have mastered Microsoft Office/Office 365 package and have the ability to teach others what you know.
- You are also willing to become proficient in the other digital tools used by ELIA’s partly remote-working team to collaborate, such as Monday.com, Your Membership, and Zoom.
- You are a fast thinker, easily able to keep pace with a multi-tasking Executive Director and team.
- A strong interest in arts and (higher) arts education and a great drive to learn is to your advantage as a candidate.

- Salary ranging from EUR 2.243 to EUR 3.145 at full-time level, scaled to part-time percentage.
